Accounting Firm Client Portal Case Study
Chasing signatures and documents by hand, client by client β gone.
The Problem
A small accounting and tax practice was doing almost everything by hand: emailing engagement letters and waiting on signatures, requesting tax documents over email and hoping nothing sensitive sat in an inbox too long, and building a payment link one at a time for every client. On top of that, their website had stopped working, and they were not even sure which of several old GoDaddy accounts actually owned their domain β so for a stretch of time, they effectively had no working website at all. During tax season, the manual back-and-forth alone could easily eat 3β6 hours a week β time that should have gone to actual client work.
What We Built
- Tracked down which of their several GoDaddy accounts actually owned the domain, and recovered access to it
- Rebuilt the website from scratch, since the old one had stopped working
- Set up a professional business email
- Built a private dashboard where they can see every new lead and where it stands, generate a payment link for a client in a couple of clicks, send engagement letters for clients to sign online, and let clients upload tax documents through a secure, one-time link that automatically deletes itself 30 days later
- Connected a payment system so clients can pay directly on the site
- Added a clear list of services and transparent pricing packages, so prospective clients know what is offered and what it costs before they ever call
- Set up their Google Business Profile and made the site easy for AI tools like ChatGPT and Perplexity to find and recommend
The Result
Most of the manual chasing β signatures, document requests, payment links β now runs through a self-serve flow instead of living in their inbox. Recovering the real domain and rebuilding the site meant they finally had a working website again instead of a dead one. The auto-deleting document system also cuts down on how long sensitive tax documents sit around, reducing real security and liability exposure. And listing services and pricing up front means fewer βhow much do you chargeβ phone calls β prospective clients already know before they ever reach out.
Why It Matters
We take data security seriously and build every system with privacy best practices in mind β especially for a business handling sensitive financial documents. Self-serve does not mean less careful; it means the careful parts β signing, storage, payment β happen automatically instead of by hand.

Why there is no live link: No live link β the portal handles real client financial documents, so we share an overview of what was built rather than a public URL.
